Booking & Cancellation Policy

Thank you for choosing Climb Devon for your adventure. My goal is to provide a fair, clear, and simple booking process. As a small, independent business, my courses and private days are my livelihood, and cancellations have a significant impact. This policy is designed to be fair to you while protecting the viability of my business.

By booking a course or private guiding day with Climb Devon, you agree to these terms.

1. How to Book & Secure Your Place

Your booking is only confirmed when full payment is received.

  • For Open Courses (Fixed Dates): The easiest way to book is via our online system. Simply select your course and date, and follow the payment instructions to secure your spot.

  • For Private Guiding: Please use the form on our "Private Guiding" or "Contact" page. I will get back to you to confirm availability. I will then send you a private payment link to pay the full amount and lock in your date.

2. Cancellation by You (The Customer)

I understand that life happens and plans can change. If you need to cancel, please contact me at info@climbdevon.com as soon as possible.

My refund policy is based on how close to the course date you cancel. This is because it becomes more difficult for me to fill your spot at short notice.

  • More than 14 days' notice: You are entitled to a full refund, minus a 5% administration & card processing fee.

  • Between 7 and 14 days' notice: You are entitled to a 50% refund.

  • Less than 7 days' notice (or failure to attend): Unfortunately, no refund can be given.

For all bookings (including those made with a Gift Voucher): The above terms apply. If you cancel within 7-14 days, 50% of the course value will be considered redeemed. If you cancel with less than 7 days' notice, your voucher will be considered fully redeemed.

3. Cancellation by Us (Climb Devon)

In the unlikely event that I (Jamie) have to cancel a course or private day due to personal illness or unforeseen circumstances, I will notify you immediately.

You will be offered the choice of:

  1. A 100% full refund.

  2. Re-booking for any other available date that suits you.

4. Our Weather Policy (The Important One!)

This is the great outdoors, and "bad" weather (like rain, wind, or cold) is a normal part of the adventure! We do not cancel courses for standard "bad" weather. I will provide all the specialist safety equipment; you are responsible for bringing appropriate personal clothing (e.g., waterproofs, warm layers) to keep you comfortable.

However, your safety is my number one priority. I will cancel a course if the weather is considered dangerous.

  • "Dangerous" is defined as: Exceptionally high winds (e.g., Met Office warnings), lightning storms, or extreme temperatures (heat or cold).

  • This decision rests solely with your instructor (Jamie).

  • If I cancel due to dangerous weather, you will be offered the choice of a 100% full refund or re-booking for another available date.

(Please note: Indoor courses are not subject to weather cancellations).

5. Open Course Minimum Numbers

  • All our "Open" group courses (e.g., "Learn to Lead," "Navigation Skills") require a minimum number of 3 participants to run effectively.

  • If, 5 days before the course, the minimum number is not met, I reserve the right to cancel the course.

  • If this happens, I will contact you immediately, and you will be offered the choice of a 100% full refund or a transfer to the next available course date.
